We worked with a Higher Education Company (HEC) whose goal is to advance digital learning technologies, and enhance teaching and learning on campus and online through research.
Centralizing Grant Management and Outreach with monday.com
HEC relied heavily on Google Sheets, Gmail contact lists, and manual processes to track their events, budgets, and funding process.
To improve operations, reduce errors, and provide more transparency, HEC partnered with CopperHill to implement monday.com. The first step was building out their CRM functionality. CopperHill consolidated previously fragmented data into one single, scalable workspace on the monday.com platform. This enables HEC to manage organizations and contacts across their national network of education professionals.
Working in monday.com also allows HEC to better manage the many events they host, sponsor, and attend. HEC can now confidently track who was invited, who attended, and what outcomes resulted from each interaction, all in one centralized location.
monday.com CRM + Sage ERP Integration
One of the most important parts of this project was the development of a grant pipeline. HEC identifies potential opportunities, and enters them into monday.com. From there, proposals are evaluated and advanced through a review process, ending in grant approval. This is all managed inside monday.com. Once the proposal is approved, automations convert the opportunity into a formal partnership with a signed grant agreement that outlines funding terms and future expectations.
Additionally, a handful of partnership management boards were set up, allowing HEC users to easily view and manage their monthly meetings, reporting and administrative tasks throughout the duration of their partnerships.
To improve the grant funding process, we built an integration with Sage ERP, HEC’s accounting system. 
- Automatically creates vendors and bills in Sage when grants are approved on monday.com.
Pulls payment data captured in Sage back into monday.com to close the loop and ensure accurate tracking of disbursements.
Other Improvements
We also added a fiscal-year budgeting module inside monday.com. With this module, HEC can now define and track their annual grant budget, broken down by grant type against actuals in real time.
Previously managed in Google Sheets, this data is now visualized through custom dashboards in monday.com that provide both high-level summaries and improved visibility.
Additional enhancements included:
DocuSign Integration: Enables document status tracking directly within monday.com.
Google SSO: Simplified login for users across the organization.
Data Migration: Through our unique understanding of their business and configuration needs, we were able to automate the data migration to populate the new platform with existing and historical data.
Standard and AI Automations: Increased efficiency by reducing manual updates and notifications.
Conclusion
Since going live, HEC has seen a major improvement in visibility, collaboration, and control across their account management and grant award process.
The CopperHill-HEC engagement not only delivered a centralized, intuitive platform, but the monday.com implementation gave HEC a foundation to grow their impact with clarity and confidence.
